What does a Job Coach do?

The Job Coaches help the customers, as well our employees. The specific activities are:

  • Our Job Coaches are the contactperson for the temporary workers
  • Making the perfect match with employees and clients
  • Customer support service
  • Keep in touch with manager(s) and stakeholders
  • Hour registration of the employees
  • Help with questions or problems from clients and/or temporary workers
  • Support during and after working hours

Register

How do I register at Westflex?

You can apply directly on our website. You can also visit one of our offices, our employees will help you there with your registration.

Which documents do I need to register?

If you want to register, you need to have a valid European identification card or passport.

At the moment we offer you a contract, we want to make copies of:
– Printout of registration RNI (BSN)
– Bank pass
– Health insurance card

I’ve already registered at Westflex, but at the moment there is no job for me. What can I do?

Make sure you always give the right/correct contact details to Westflex. If we have an available job for you, we want/need to contact you. Besides this information, it is always good for us to know more about your working experience. This way our Job Coaches can help you to find a job, which suits your work experiences.

As long as Westflex is not contacting you, you may assume that Westflex hasn’t found a suitable job for you (yet). Of course you can always contact your Westflex Job Coach, to ask about the status.

Transport

How is the transport to Holland arranged?

If you want, Westflex can arrange the transportation from your home country to the Netherlands. Our offices in Poland and Romania have agreements with bus transportation companies. Our employees in Poland, Romania and Latvia would love to tell you more about it. You can call to one of our office or visit them.

How is the commuting traffic in Holland arranged?

Westflex provides a living location close to your work. In most of the cases, you can walk to work or ride your bike to work. In other cases, Westflex will provide transportation.

Westflex has multiple cars. You may use these cars costless for the transportation to your work.

If you have your own car, Westflex will look if you are eligible for travel fees.

Housing / accommodation

What kind of accommodations does Westflex offer?

Westflex offers different kind of accommodations. Westflex owns houses, apartments and a camping. Our planning department will look at the distance between your living place and your workplace. We try to keep this distance as short as possible. During your stay in the Netherlands, it may occur that you have to move to another house. This happens when you start working at another company or because of other reasons related to our planning. Of course Westflex tries to minimize the times you have to move as much as possible.

All accommodations of Westflex have a SNF (Stichting Normerking Flexwonen) quality mark. This organization checks annually whether the Westflex accommodations meet their requirements.

How many people are living in a house and what is the maximum amount of people in a room?

The amount of people per living place/residence varies a lot. There are residential locations where there is room for sometimes even more than a hundred people or more, for example at our camping. In our apartments and houses is the number of people much smaller. In the most of the rooms of our apartments and houses we give room to 2 people. But of course, not every house is the same. One house is bigger/smaller than the other one. In some of our living places we are providing room for more people, but only if this is possible.

The planning of the Westflex houses is based on the requirements of SNF (Stichting Normerking Flexwonen).

What are the costs for housing?

The costs for standard housing at Westflex are in 2024: € 120,- per week.

What happens to my room if I am going on vacation / holiday?

The decision is all yours. You can choose what you want to do.
The first option is to keep renting your room during your vacation / holiday. This means that Westflex keeps this room only for you. It is certain that you will comeback in this same room after your vacation / holiday. You can also leave your personal belongings in this room during your vacation.
The housing costs at Westflex are in 2024: € 120,- per week.

The second option is to not rent your room during your holiday / vacation. This means that you will have no costs, but there is a big chance that you will comeback in another room after your vacation / holiday.

Contracts

What kind of contract will I get?

Westflex works with a phase system as prepared by ABU. In the Westflex personnel guide, you can find more information about this phase system. Beside you can find information about how long every contract can last.

I want to stop working for Westflex?

If you want to stop working for Westflex, inform have to contact your Job Coach about this and send a resignation to your Job Coach.

Salary

When will the salary be paid?

Westflex pays the salary of the previous week every week on Thursday. This means when you start working in week 1 you will receive your salary of week 1 on the Thursday in week 2. You will have your salary almost every time on Friday.

Where do I find my payslip or annual statement?

The payslip and annual statement will be send to your Plan4Flex application. You will receive the payslips on the same Thursday as your salary is paid. If you haven’t been working, there will be no payslip.

The annual statement will be send one time a year, namely at the beginning of each year (in March).

The annual statement is a summary of the already expired year.

What about reservations?

We set aside money for multiple things. You can think of holiday allowance, holiday hours and extra-legal leave. You can see this reservations on your payslip. We always pay the holiday allowance directly with the weekly salary (only by temporary workers). You take holiday hours when you want to take a day off. This reservation ensures that you will be paid also for this day.

When you stop working at Westflex, these reservations will be paid within 6 weeks after you stop working at Westflex. Extra-legal leave will be paid weekly.

I do not think my salary is right, what can I do?

When you doubt whether the salary paid by Westflex is correct, you can contact your Westflex Job Coach. This is your contact person. He or she will be present at your work location but you can also contact him/her by mail or telephone. Indicate in concrete terms what you think is not correct (for example, the amount of worked hours). Thereafter we will control whether or not you were right and we will give you feedback about it. If there is indeed something wrong about your payslip, we will make a correction at the next payment.

Holiday / vacation

Can I go on holiday during illness?

Yes that is allowed! You submit your holiday request to your Job Coach.

There are legal conditions for holidays/vacation during illness.But it must be considered per situation what is and what is not allowed. We will consult with the occupational health and safety doctor (Arbo) to see whether there are any options for you to go on holiday during your illness. You will be notified if this is possible for your situation.

Note: If you leave without permission or without consultation with Westflex, this will have consequences for your contract at Westflex.

How can I submit a vacation request?

If you want to go on vacation, you must submit a holiday request. You must submit this application at least two weeks before the start of your holiday.

You can download the application form for holidays here or ask for the form via your Job Coach.

You have to send the completely filled in form to your Job Coach. Your Job Coach will check your holiday request and see if this is possible according to your work. The Job Coach will inform you in time about an approval or rejection of your request.

When you return from vacation, you must notify Job Coach at least two days in advance.

When will I receive my holiday allowance and holiday hours?

Holiday money is paid directly with the weekly salary. This is every week on Thursday.

You take holiday hours when you want to take a day off. This set aside ensures that you get paid for that day.

When you stop working at Westflex, your remaining set asides will be paid 6 weeks after your last salary payment.

Sickness / illness

How do I have to report sickness?

If you are sick, you must report your sickness/absence before 09:00 a.m. by calling to your Westflex Job Coach.

Note: You have only been reported sick when you have spoken to your Job Coach (by calling to your Job Coach) and he or she has reported you sick.

What happens when I am sick?

If you are sick, you must report your illness by calling to you Job Coach. You have to call before 9:00 a.m. to your Job Coach.

We will inform the client and the absenteeism department of Westflex about your illness.

If you are sick, you can not go to work. So you stay at home. You can receive a call and / or a home visit during the period that you are sick. So make sure you are always at home and available for a phone call!

The absenteeism / case manager of Westflex will guide you during your absence period, to work together on a speedy recovery. You will also see whether you can carry out adapted work tailored to your (temporary) limitations.

It may be that you are invited to the health and safety doctor (Arbo) in a short period of time. The health and safety doctor (Arbo) will assess if you are able to start again with your own work or if it is possible to do some other work. His advice is leading, this means that we (Westflex) will always follow the advice of the health and safety doctor (Arbo).

During your illness we will, according to the Wet Verbetering Poortwachter (Dutch Law), schedule all kinds of activities as well as possible in order to your recovery and reintegration.

Can I go on holiday during illness?

What should I do when I am better / healthy and can get back to work?

When you are better, you should contact the absenteeism department of Westflex or your Job Coach and inform them that you are better and healthy again.

Does Westflex also offer Health insurances?

Yes, the health insurance of HollandZorg is available via Westflex. The costs of this insurance in 2024 are € 35,58 per week.
This amount will be deducted automatically from your salary.

Note: A Dutch health insurance is required for everyone who works in the Netherlands. It is not possible to temporarily stop your health insurance during holidays whenever you have a contract.

What can you expect from Westflex in terms of medical support?

If you are ill or have had an accident and need to go to the doctor or emergency room, we will go with you if you wish.
If this results in a referral to a specialist, we will go with you the first time.

If there are follow-up appointments, you yourself will make sure that you get to the appointment and, if necessary, arrange for an interpreter so that you can communicate with the specialist.

Are you long-term sick and you are called by us for a visit to the occupational health physician or you must reintegrate then you are obliged to come. You must arrange your own transportation.

Through the Internet there are several specialized (volunteer) organizations that can help you arrange guidance / translation during doctors / hospital visits. They are specialized in this and are independent.

Payment

What is the purpose of the artificial constructions law (Wet aanpak schijnconstructies, WAS)?

Each person who works in the Netherlands is entitled to be paid the minimum wage. This means that the employer may not withhold or deduct an amount from the minimum wage. However, the employer may withhold or deduct an amount from the portion of the wage above the legal minimum or from the holiday allowance. This law makes an exception for the amounts withheld for accommodation expenses and health insurance costs.

Income tax and pension contributions may also be withheld, as these have a legal basis.

The remaining WAS amount must be paid on time. It is possible to withdraw the amount at the Westflex office (you can pay by card).

What are (ET) extraterritorial costs?

This is a tax scheme that provides a tax-free allowance to an employee from abroad who comes to work temporarily in the Netherlands. In that case, a temporary worker may waive (exchange) a part of his or her taxed wage to receive a tax-free allowance in return.

The following taxed wage can be exchanged:

  • Holidays in excess of the legal entitlement (the maximum exchangeable wage for holidays in excess of the legal minimum is 81%).
  • Allowances for irregular working hours and overtime (the maximum exchangeable wage for allowances and overtime is 100%).
  • Wage in excess of the legal minimum wage (the maximum exchangeable wage above the legal minimum wage is 81%).

The following extraterritorial costs can be exchanged:

  • Double accommodation expenses
  • Transport to and from the Netherlands
  • Extra maintenance
What is the difference between the income tax and social insurance contribution (‘loonheffing’) and the special rate (‘bijzonder tarief’)?

Income tax and social insurance contributions are calculated for the hours you work. The white weekly wage table from the Dutch Tax and Customs Administration (‘Belastingdienst’) shows exactly what must be paid on which gross weekly wage.

The special rate is calculated for ‘exceptional’ remuneration such as a bonus, performance-related pay, and the settlement of amounts set aside.

When will the amounts set aside be paid?

Holiday money is paid directly with the weekly salary (temporary workers only). This is every week on Thursday.

Holiday hours will be paid in the first week of your holiday.

If you have left employment, the amounts set aside will be paid 6 weeks after the date you left Westflex.

How will I be informed of my daily schedule?

You can find your daily schedule In the Plan4Flex application (available for mobile devices). Westflex uses this application to schedule work, transport, and housing. So please make sure that you install this app on your smartphone or tablet.

I have lost my username/password for the Plan4Flex app?

In the application, you can click on the option ‘forgotten password’. When you click on it, a new password will be sent to the e-mail address that is known to Westflex.

Where can I find my login details for the Plan4Flex app?

When you start working for Westflex, you will receive an e-mail containing your login details. You will receive this mail shortly before or after your first day at work. So, please make sure you give your correct e-mailadress to your Job Coach. Please keep this information in a safe place!
